Principle Duties and Responsibilities
- Organize, coordinate, schedule and perform a wide variety of clerical and other office functions and activities related to the administration of diverse programs and operations of the Counseling office.
- Serve as secretary and provide administrative assistance to the high school college counselors.
- Prioritize and schedule work and assignments to assure efficiency and effectiveness and meet established timelines.
- Make, schedule and arrange appointments, meetings, conferences, college visits, and other college counseling events(including facility and catering requests)
- Manage various projects for Counseling, including:
- Planning, logistics, and execution of College Counseling student/parent programs;
- Produce internal reports, documents, publications, and presentations for faculty, students, and parents for College Counseling. Independently compose letters and memoranda as directed. Format and send out letters and student records to schools, colleges or universities.
- Assist with SAT, ACT, and PSAT, and pre-ACT exams in partnership with the Registrar, as well as to be present and act as a proctor on tests day. If the Registrar can not be present on test day, the co-coordinator must be.
- Upload student data to college counseling software and PowerSchool systems.
- Pay invoices, and organize budget and financial materials to maintain accurate records.
- Communicate in a positive and effective manner with staff, administration, students, parents and/or visitors
- Coordinate the office, acting as receptionist, and contact and reference source for staff, students, parents, and the public.
- Provide information over the phone or in person to parents, students or school personnel as appropriate.
Help facilitate office and general school supply purchase orders; receive, store and distribute supplies and office materials; help maintain materials and equipment inventory.
- Make photocopies, file, distribute mail, etc
- Perform other administrative duties as assigned.
- Assists students with troubleshooting (test registration, scholarship applications, college forms)
Certifications and Education
Bachelor Degree held or in progress
Experience
Previous experience in a school office
Previous experience in a similar role at an international school
Knowledge, Skills and Abilities
Fluency in English and Portuguese
Graded - The American School of São Paulo
